Who we are
This website is run by Incomati Warehousing & Distribution, S&J Industrial Park, 143 Ganymede Crescent, Jupiter, Germiston, Gauteng, South Africa. Under POPIA we are the responsible party for the personal information described here.
If you have a question about this policy or your information, contact our Information Officer at info@incomati.co.za or on (011) 894 5280.
What this policy covers
This policy covers personal information we collect through this website: when you browse it, when you contact us from it, and when you apply for a job on our careers pages. It does not cover the information our warehousing clients share with us under their service agreements, which those agreements deal with.
Information we collect
When you browse the site
You can read this website without telling us who you are. If you accept cookies, Google Analytics and Google Ads record how the site is used. That includes the pages you visit, the type of device and browser you use, your approximate location (country or city, not your address) and whether you arrived from one of our ads. We use this to understand what is useful on the site and how well our advertising works. If you decline, no analytics or advertising cookies are stored on your device.
Like every website, our hosting server keeps standard technical logs, such as the IP address and browser of each visit, to keep the site secure and working.
When you contact us
If you phone or email us, we receive the details you choose to share, such as your name, company, phone number, email address and what you need. We use them to answer you, to prepare a quote and, if we work together, to run the service. Our email is hosted on Microsoft 365.
When you apply for a job
Our application form asks for your name, phone number and email address, your CV, and your answers to the questions for that position. A LinkedIn profile link is optional. We also record the date and time you gave your consent, and your IP address and browser type, which we use to protect the form from spam and abuse.
We never ask about your marital status, children, pregnancy, religion, race or health.
How we use it
We only use personal information for the reason it was given to us. Enquiries are used to respond to you and do business with you. Applications are used only for recruitment. They are never used for marketing and are not shared outside the hiring process. Website statistics are used to improve the site and our advertising.
We do not sell personal information, and we do not use it for automated decisions about you.
Why we are allowed to process it
POPIA allows us to process personal information when you consent to it, when it is needed to provide a service you asked for, when the law requires it, or when we have a legitimate interest that does not override your rights. Job applications and analytics cookies rely on your consent. Answering enquiries and running our services rely on what you asked us to do. Server logs and spam protection rely on our legitimate interest in keeping the site secure.
Who we share it with
We share personal information only with service providers that help us run the website and our business, and only as much as they need. They are our website host in South Africa, Microsoft for email, and Google for website analytics and advertising. Each of them must protect the information and may only use it on our instructions.
Microsoft and Google may store or process information outside South Africa. POPIA allows this when the recipient is bound by laws or agreements that protect it to the same standard, and both companies offer such safeguards.
We will also disclose information if the law or a court requires it.
How we protect it
The whole site runs over an encrypted connection (HTTPS). Job applications and CVs are stored in a private folder on our server that cannot be reached from the web. Only authorised people involved in hiring can see them, and they have to sign in twice to do so. Applications are never sent by email.
How long we keep it
We keep job applications for as long as the recruitment process needs them, and delete them no later than 12 months after the position closes. You can ask us to delete yours sooner at any time.
We keep enquiries and business correspondence for as long as we work together and for as long as tax and company law require after that. Website statistics in Google Analytics are kept for no longer than 14 months.
Your rights
Under POPIA you have the right to:
- ask whether we hold personal information about you, and for a copy of it
- ask us to correct information that is wrong or out of date
- ask us to delete information we no longer have a reason to keep
- object to how we use your information
- withdraw your consent at any time, for example by withdrawing a job application or changing your cookie choice
To use any of these rights, email our Information Officer at info@incomati.co.za. We may ask you to confirm your identity before we act on a request, and we will respond within a reasonable time.
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Regulator of South Africa at inforegulator.org.za.
Cookies
Cookies are small files a website stores in your browser. We only use them for analytics and advertising, and only if you click Accept on the cookie banner. You can change your choice at any time with the cookie settings link at the bottom of every page.
| Name | Set by | What it does | How long |
|---|---|---|---|
| _ga, _ga_* | Google Analytics | Tells visits apart so we can count visitors and see how the site is used | Up to 2 years |
| _gcl_au | Google Ads | Links a visit to an ad click so we can see which ads lead to enquiries | 90 days |
| incomati_cookie_consent | This website | Remembers whether you accepted or declined cookies, so we don't ask on every page. It is kept in your browser's local storage and never sent to us. | Until you clear it |
You can also block or delete cookies in your browser settings. The site works the same without them.
Changes to this policy
We may update this policy when our website or the law changes. The date at the top shows when it last changed.
